TEMPLATE (GENERAL)
I am filling out the APSRC template for my program, then turning it in to my Dean/Executive Director. What is the role of the Dean/Executive Director in the APSRC template process? Will my answers be considered, or will the Dean/Executive Director change my answers before sending the template to APSRC?
While the Deans and Executive Directors are the main points of contact with APSRC, the committee intends for them mainly to verify accuracy of information and validate the answers generated by program staff. While Deans and Executive Directors may change answers as needed to achieve the most accurate picture possible of their program, it is APSRC's expectation that completed templates will reflect as much of the original content as possible. In this way, we will gain a full and rich picture of each program, which will allow for maximum input from members of the Gallaudet University community.
Do you have example responses to the questions on the APSRC template?
For assistance with the APSRC template, please consult our handbook by clicking the link on this page: Review Process and Forms. If you need further assistance with particular questions, please contact your Dean, Executive Director, or Program Head for assistance.
If a question does not apply to my unit, should I leave it blank?
If a question does not apply to your unit, please indicate "n/a" so that APSRC does not think you inadvertently skipped a question.
Do you permit any addendums to the template?
No, with the exception of an organizational chart for your unit, requested in question 6.1.
Can I add a graph or chart to one of my template responses?
Yes. Graphs and charts saved as JPEG images may be inserted into the "Response" box provided.
I have a problem with my financial forms. Who should I contact?
For any questions about your financial forms, please contact APSRC directly and we will assist you. It has come to our attention that several people have had trouble opening the financial files for their units. If you have had trouble, or if you have not yet opened the files, one method we recommend to ensure that your files open correctly is to save each file as you open it with a new file name. The files provided reflect the same file name for each account number regardless of Fiscal Year, so in changing the file name to reflect the appropriate Fiscal Year, you will avoid possible logic issues in which the computer tries to open a file with different content that has the same file name. Please contact us with any questions or if you need further assistance.
TEMPLATE (QUESTION-SPECIFIC)
When filling out question 1.1, do I have to write out the strategic goals that apply to my program
No, you may refer to the goals by letter and number, there is no need to write them out as part of your response.
I'm not sure whether to list my demand as internal or external.
Internal demands are those from within Gallaudet University, external are from sources outside the university. Internal and external demand criteria have equal weight, so program demand should be accounted for fairly no matter the category selected.
I have employees, including student employees, who are not constant throughout the year. For question 6.1, do you want me to reply with my current number of employees?
For all questions pertaining to employee counts (3.3, 6.1, 7.2), please use your total count for Fiscal Year 2010. For question 6.1, if you have employees who worked for part of the year or have other unique circumstances, please include this information in the "Responsibilities" column.
How do I identify whether a temporary employee is a 90-day or extended temporary employee in question 6.1?
Fill in the full position status in the third column of the table for question 6.1.
Should I list vacant positions in my employee headcount?
No. Please explain anything related to vacant or posted but un-filled positions in the narrative sections of the template.
Should I identify Federal Work Study students in the table for question 7.2?
No, you may add this to your narrative under cost saving measures in question 6.4.
Should I use projected budget information or actual expenditures?
Please use actual expenses when filling in your budget information.
How do I calculate revenue if my budget starts as a deficit?
For questions about how to represent your budget, please talk to your Program Head, Dean, or Executive Director.
Where do I list overtime in my payroll expenses for question 8.1?
Please account for overtime in the TOTAL PAYROLL column in your response to question 8.1.
Question 9.4 asks for a bulleted response, but the box does not have a bullet point.
Please add your own bullet points to the response box and provide a bulleted response for question 9.4.
GENERAL
Why isn't someone from my department/unit on the committee?
Committee members do not represent individual departments or units; rather their charge from the President is to consider the best interests of the University as a whole without regard to their position or program.
