2.04 Salary Advance

Scope

This policy applies to faculty, teachers, staff, and students in all offices and divisions of Gallaudet University.

Policy

Since making salary advances to employees constitutes questionable use of University funds and causes disruption and additional expense in payroll processing, employees are expected to handle their personal financial matters in a manner that does not involve the University. Accordingly, employees are normally paid only on regular pay days. Employees who find it necessary to obtain funds in advance of a normal pay day should make other arrangements.

In certain situations, employees may be able to receive their pay in advance:

  1. If an employee will be absent on a regular pay day due to an approved leave of absence or because of travel on University business, the regular paycheck (excluding those paychecks automatically deposited) may be picked up as early as the Thursday afternoon preceding pay day with written approval of the unit administrator. The paycheck is, however, dated for the regular pay date and may not be deposited or cashed prior to that date.
  2. If a newly hired employee anticipates a real hardship waiting for the first regular pay day, in highly unusual and isolated instances the unit administrator can authorize a salary advance via check request for up to 75 percent of the first pay period wages due for hours worked or any portion thereof. Processing of an advance check usually takes a minimum of three working days.

If an employee does not receive a paycheck for wages due on the regular pay day for reasons beyond his/her control, a special check can be issued.
