Computer Management and Software Distribution Procedures
All computers purchased by Gallaudet University and Clerc Center are automatically joined to the Campus domain and managed by Gallaudet Technology Services (GTS) using the Kace 1000 Systems Management Application.
Kace 1000 is a comprehensive inventory and software management tool, enabling GTS to automatically distribute software installations and updates remotely. In addition to this, Kace 1000 contains a library of GTS supported software readily available for download and installation on managed computers. System Updates (MANDATORY)
System updates are categorized as security patches, updates and hotfixes that are released by Apple Inc. and Microsoft Corporations, respectively. These updates are automatically distributed campus-wide.
- Dell (Windows) Computers (AUTOMATIC)
- Windows System Update Service (WSUS) released on the 2nd and 4th Tuesday each month. GTS reviews the updates and releases them campus-wide the following day.
- User may be prompted to restart computer in order to complete installation.
- Apple (Mac) Computers (AUTOMATIC)
- No set schedule
- Accessible from the Apple Menu > Software Update
- Not to be confused with app updates in the app store
- Apple Computers with BootCamp (Mac & Windows)*
- Apple system updates are automatically applied ONLY when...
- the computer is at the Operating System (OS) selection screen
- user is logged into the Mac OS
- Windows system updates are automatically applied ONLY when...
- user is logged into the Windows OS
*Due to the frequency of use and individual user preferences, computers in these areas may not receive updates in a timely manner:
- classrooms with labs
- conference rooms
- meeting rooms
To prevent potential security risks, every month GTS will FORCE these computers to restart and install updates starting at Midnight every 2nd and 4th Tuesday and Wednesday. The update process is expected to run until 6 a.m. both days.
For any GTS supported software applications, newly released updates will be tested first by GTS and then automatically distributed to all managed computers. Updates will only be applied to computers that already have the software installed.
If an update is available for a program that is actively being used, then the update will not be applied until the next inventory check in with Kace.

Kace runs an inventory check every 6 hours on all managed computers. That is also when software updates are applied.
Computers that are continuously connected to the Gallaudet network (e.g. office desktop computers) will receive software updates within 12 hours of its availability in the Kace 1000 Software Library.
Computers that are disconnected from the Gallaudet network for more than 12 hours (e.g. laptop computers that are taken off campus) will automatically receive updates within 6 hours of reconnecting to the Gallaudet network either on campus or through VPN.
If your computer does not appear to be receiving updates, please contact the Help Desk for assistance.
Although GTS strives to make this process as seamless as possible, unexpected glitches and errors can occur at any given time. With that said, GTS strongly encourages that you save all open files and shut down all open programs prior to leaving campus daily.
For any major software updates or upgrades, as well as the installation of any new software program(s), GTS will make a Daily Digest announcement prior to distribution.
